This policy explains what personal information Ben Engineering collects through this website, why we collect it, how we protect it, and what you can ask us to do with it. In plain terms: we only collect what you choose to send us, we use it to answer your enquiry, and we do not sell it to anyone.
Who we are
Ben Engineering provides building engineering and environmental consulting services in Ontario and British Columbia, with offices in Vaughan (head office), Ottawa and Vancouver. This policy covers the website at www.ben-engineering.com and any information you send us through it.
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for our British Columbia clients, the Personal Information Protection Act (PIPA).
What we collect
Information you give us
When you complete the quote request form, you provide your name, email address, telephone number and any comments you choose to write. For technical and security reasons, the IP address the request was sent from is recorded with it.
If you contact us by phone or email instead, we hold whatever you tell us in that message. You can browse the entire site without providing anything.
Information collected automatically
Our web host keeps standard server logs, which record the pages requested, the date and time, the referring page, and the browser and operating system in use. These logs are used for security and to keep the site running correctly.
Cookies and tracking
We do not set cookies on this website, and we do not use advertising or behavioural tracking. Fonts and images are served from our own server rather than from third parties, so reading the site does not report your visit to anyone else.
One exception: maps on the contact page
Our contact page embeds Google Maps so you can see where each office is. That map is loaded from Google, and Google may set cookies and collect data about the visit under its own privacy policy, which we do not control. It is the only third-party content on this site.
If you would rather not load it, avoid the contact page and use the addresses and phone numbers in the footer of any page instead, or the "Get directions" links, which do not load anything until you click them. Google explains its practices at policies.google.com/privacy.
If we add analytics in future, this policy will be updated before that happens, and the date at the top of this page will change.
Why we use it
We use the information you send only for the purpose you sent it:
- To answer your enquiry and prepare a quote.
- To carry out the work, if you engage us, and to communicate with you about it.
- To keep records required for professional practice, and to meet legal, insurance and regulatory obligations.
We do not add enquiry contacts to a marketing list without asking, and we do not send unsolicited promotional email.
Who we share it with
We do not sell, rent or trade your personal information. It may be handled by:
- Service providers who operate our website and email systems, only to the extent needed to deliver a message to us.
- Subconsultants and laboratories, where a project requires specialist testing or analysis, and only the information needed for that work.
- Regulators, courts or authorities, where the law requires it or where a report must be filed with a government body as part of an agreed scope of work.
How long we keep it
Enquiries that do not become projects are kept for a limited period and then deleted. Project records, including reports sealed by a Professional Engineer or Professional Geoscientist, are retained for longer, because professional practice, limitation periods and our insurers require it. If you want a specific enquiry deleted, ask us and we will confirm what we can remove.
How we protect it
The site is served over an encrypted connection (HTTPS), so anything you type into the form is encrypted in transit. Access to enquiries and project files is limited to staff who need it. No method of transmission or storage is completely secure, but we take reasonable measures appropriate to the sensitivity of the information.
Your rights
Under Canadian privacy law you can:
- Ask what personal information we hold about you and request a copy.
- Ask us to correct anything inaccurate.
- Withdraw your consent to further contact, subject to legal and contractual limits.
- Ask us to delete information we are not required to keep.
Write to us using the details below and we will respond within thirty days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada, or for matters in British Columbia, the Office of the Information and Privacy Commissioner for British Columbia.
